The first white-labeled mobile coworking application hit the market in 2015 (PS. it was us at Optix!).

Since then, white-labeled apps have become the gold standard for coworking spaces who are looking to make a memorable impression with their brand while improving the member experience. In this article, we’re exploring seven of the best providers of white-labeled apps for coworking spaces based on what we’ve learned from working in coworking for 10+ years.

Methodology for creating the list of best white-labeled apps

To create this list, we looked at five key factors that we believe indicate quality in a coworking application:

  • Reputation and reviews: what is the reputation of the provider and the app within the industry? What percentage of their online reviews mention “mobile app” or “white-labeled app”?
  • White-labeled app experience: how is the overall process for getting up and running with a white-labeled app, and is it well documented?
  • Cost: how much does the app cost, and is that pricing transparent for customers?
  • Customizability: how customizable is the app? Does it offer full or partial white-labeling capabilities?
  • Look and feel: what is the overall look and feel of the app?

From here, we used a number of secondary sources (linked below) to come up with a definitive guide to the best white-labeled apps for coworking space owners and operators today. Here are the 7 providers that came out on top.

What is a white-labeled app?

A white-labeled app is a fully branded and customizable mobile app that is built and maintained by a third party provider, but is published under your name and branding. It is used by members of a coworking space to book rooms, make payments, message other members, and more.

1. Optix

Rating: 9.9/10 ⭐️

Yes, we may be biased here. But as the creators of the first ever mobile app for coworking spaces, there’s a reason why Optix comes out on top.

Optix offers a fully customizable, white-labeled mobile app (WLA) for members of a coworking space to make bookings, pay bills, connect with other members, and more. With a quick onboarding process, a DIY mobile app builder, and the best user experience in the industry, Optix mobile apps are adored by members and operators alike.

But don’t take our word for it. Just check out the 126 reviews and 4.9 stars for the Optix app on the Apple App Store.

2. OfficeRnD

Rating: 9.3/10 ⭐️

OfficeRnD is a leading provider of coworking and flexible workspace management software. Their app known as OfficeRnD Members is a white-labeled mobile application tailored for coworking and flex space operators to use in their space.

While the app is not as popular with users compared to the member web portal, it is still used frequently and mentioned occasionally by reviews. What makes them stand out is their white-labeling capabilities and clearly outlined process for getting started (though it is unclear how much the white-labeled app costs).

3. Nexudus

Rating: 8/10 ⭐️

Nexudus is an enterprise coworking software known for their robust features and integration set. They offer Passport by Nexudus, a fully branded mobile application that’s frequently used by their clients.

Like Optix and OfficeRnD, Nexudus offers full white-labeling capabilities including a custom logo, colors, and custom marketing content in the app. Similar to OfficeRnD, the app is not as popular as the member web portal. It is also one of the most expensive add-ons at $150/month. So although you may not choose Nexudus specifically for their white-labeled app, the app is worth exploring if you’re already a Nexudus customer.

4. Spacebring

Rating: 7.8/10 ⭐️

Spacebring is a smaller coworking software provider based out of Poland. They offer a white-labeled mobile application for members of coworking spaces, as well as a mobile application for coworking operators to manage their space. This feature is unique and not common in coworking software.

Unlike some platforms that only offer partial customization, Spacebring gives you full brand control including SVG logo support and custom URL domains. Consistent with the rest of the Spacebring platform, the app is simple and no frills, though may be missing functionality for larger operators looking for advanced features.

Coworks is a coworking software platform primarily serving community-driven coworking spaces in the US. They offer a mobile application for members on both iOS and Android with full white-labelling capabilities including a space’s name, logo, and brand colors.

One unique feature of Coworks’ mobile apps is their door access control integration with Sentry allowing for keyless entry for those using the Sentry system. However, their mobile application process is minimally documented and pricing is unclear which can be frustrating for users looking to onboard.

Rating: 7/10 ⭐️

Archie is a newer coworking software provider on the market who specialize in space and visitor management for hybrid workplaces. They offer a fully white-labeled mobile app for their coworking space customers, enabling operators to provide an on-the-go experience for members.

As one of the newer solutions on the market, there is limited information available on the white-labelled capabilities of Archie. It is minimally mentioned by users in their reviews with most reviews focused on hybrid employees’ use of the mobile app. Keep this in mind as a coworking space operator trudging forward into the unknown.

Frequently asked questions

Most white-labeled coworking apps take anywhere between 2–4 weeks to publish, depending on the platform and approval process. Operators can sometimes speed up the process by preparing their branding assets and content early and getting ahead on Apple Developer Account requirements.

Fully white-labeled apps means the app looks entirely like your own, with no reference to the third-party who made it. Partial branding doesn’t allow for as much customization and can sometimes demote your brand, depending on the application.

Pricing varies by provider but ranges between $90 and $150 a month. Some apps, like Optix, start around $99/month, while others, like Nexudus, begin near $150/month. Many platforms also require you to contact sales for a quote, so you’ll want to compare pricing transparency and included features before making the commitment.
